    Volume decides the tool

These are the same tiers we use in our guide to cold email tools for small businesses. Most small teams live in the first two rows.

    Daily volume What you need
Up to 30/day Basic mail merge from Google Sheets
30–100/day Mail merge plus scheduled follow-ups
100–1,000/day More automation: sequences, reply detection, tracking
1,000+/day Dedicated platform: many inboxes, warmup, rotation

Before you send, run your template through the mail merge previewer to catch empty fields. And if you're close to the cap, read Gmail sending limits explained.

    Frequently Asked Questions

How many cold emails should I send per day? ▾
Work backwards from your goal. Decide how many meetings you want, estimate your reply rate and how many replies turn into meetings, then divide. Most small businesses land somewhere between 10 and 100 emails a day, which a Gmail-based mail merge handles comfortably.
What reply rate should I assume? ▾
Use your own numbers if you have them. If you don't, start with 2 to 5 percent for well-targeted, personal emails and adjust after your first campaign. A generic blast to a bought list will do worse, while a small list with a real reason to reach out can do much better.
Why does the calculator warn above 50 emails per inbox? ▾
Google allows more than that, but the cap isn't the real risk. Spam complaints and bounces are. Many senders keep cold outreach to roughly 30 to 50 emails a day per inbox so a bad batch can't damage their reputation. It's a rule of thumb, not a Google limit.
Do follow-ups count toward Gmail's daily limit? ▾
Yes. Every email you send counts, whether it's the first touch or a follow-up. The calculator adds follow-ups to your daily total, assuming they go only to people who haven't replied.
Is my data saved anywhere? ▾
No. Everything is calculated in your browser. Nothing you enter is uploaded or stored.
