Waterfall Enrichment: How to Maximize Email and Phone Coverage Across Multiple Providers

Why no single enrichment provider covers your whole list — and how a waterfall cascade strategy consistently returns 20–35% more verified contacts than single-provider enrichment.

Every B2B data enrichment provider has a database. Every database has gaps. The gaps are not random — they reflect each provider’s data sourcing history, geographic focus, and industry coverage.

This is not a criticism. It’s the structural reality of how B2B contact databases are built. The practical consequence: any single provider will leave 30–50% of a typical prospect list with missing email or phone data.

Waterfall enrichment is the solution.


How Waterfall Enrichment Works

A waterfall is a priority-ordered sequence of enrichment providers. For each contact in your list:

  1. Send to Provider 1 (your best overall hit rate)
  2. If Provider 1 returns a verified email → write result, stop
  3. If Provider 1 returns nothing → send to Provider 2
  4. If Provider 2 returns an email → write result, note it came from fallback
  5. If Provider 2 also returns nothing → continue to Provider 3 (if configured)
  6. If all providers return nothing → mark as “not found”

The key insight: each provider’s “not found” cases overlap only partially with other providers’ “not found” cases. The profiles that Datagma can’t find are not the same as the ones LeadMagic can’t find.


The Coverage Math

Based on internal testing on mixed B2B lists:

The combined result is not the sum of both — there’s overlap between providers (both have data on the same contacts). But the incremental coverage from the second provider consistently adds 15–25 percentage points of hit rate above single-provider enrichment.

For a 1,000-contact list:

  • Single provider: ~580 emails found
  • Waterfall (two providers): ~720 emails found
  • Incremental gain: 140 additional contacts reachable

At typical cold email conversion rates, that incremental 140 contacts can represent 3–5 additional meetings booked per enrichment run.


Email vs. Phone Waterfalls: Why They’re Often Different

The best provider for email enrichment is often not the best provider for phone/direct dial enrichment. The data sources and scraping methods differ significantly between these two data types.

Run independent waterfalls:

Email waterfall: Provider with highest email database coverage → fallback to second email provider

Phone waterfall: Provider with highest direct dial coverage → fallback to second phone provider → optionally fallback to mobile-specific provider

This means a single contact might get their email from Provider A and their phone from Provider C — both results landing in the same output row.


Setting Provider Priority

The waterfall order should reflect your list composition. Two factors determine which provider should be primary:

Geographic coverage: US-centric providers (ZoomInfo, Apollo) perform best on US lists. EMEA-heavy providers (Cognism, Kaspr) perform best on European lists. Mixed lists typically favor the provider with the strongest coverage of your largest geographic segment.

Company size coverage: Some providers have stronger data on enterprise accounts (larger companies file more publicly, have more press coverage). Others have better SMB coverage (built from email-verified opt-in sources). Match your primary provider to your ICP company size.

Practical approach: Before committing to a waterfall order for a large batch, test 50 records through each provider independently. Whichever returns the most results on your specific list type goes first.


Credit Efficiency

Waterfall enrichment costs more credits than single-provider enrichment — every record that goes to a secondary provider incurs a second lookup charge.

The math for a 1,000-record list with Provider 1 finding 580 and Provider 2 handling the remaining 420:

A 42% increase in credits for a 24% increase in emails. The cost per email goes up slightly, but for most B2B use cases the incremental contacts are worth it.

When the math doesn’t favor waterfall:

  • Commodity lists where cost-per-contact is the primary constraint
  • Lists where you already have high-confidence coverage from your primary provider
  • Very small batches where the setup overhead isn’t justified

What Goes in the Output

Each enriched row should include:

  • Email address (if found)
  • Phone number (if found)
  • Email confidence score or verification status
  • Phone type (direct dial, mobile, main line)
  • Provider that returned the email
  • Provider that returned the phone
  • Enrichment timestamp

The provider attribution column matters over time. After 10 runs, you’ll see which provider consistently performs on your list type — enabling informed decisions about which subscriptions to renew or expand.


Building the Waterfall in Google Sheets

The Google Sheets approach:

  1. Input tab: Your contact list (name + company, LinkedIn URL, or email as lookup key)
  2. Settings tab: Provider API keys and cascade order
  3. Enrichment run: Each row processes through the cascade, writing results as it goes
  4. Output tab: Final enriched list with provider attribution
  5. Summary tab: Hit rate per provider, total coverage, credit usage estimate
